Mailing List Guidelines

A mailing list is a list of people's names and addresses that is used to send certain messages or announcements to many people at once, who are usually expected to share a common interest in the contents of the message. One can usually join and leave the list as they see fit, so it is likely that a subscriber will find at least some of the messages interesting.

Guidelines for Mailing Lists:

· Confirm and verify emails of new subscribers.

The e-mail addresses of new subscribers must be confirmed or verified before mailings commence. This is usually accomplished by means of an e-mail message sent to the subscriber to which s/he must reply, or containing a URL which s/he must visit, in order to complete the subscription. However it is implemented, a fundamental requirement of all lists is the verification of all new subscriptions.

· Clearly state name, content and frequency of your mailing list.

The opt-in subscription must clearly state that the subscriber is joining a mail list, what the mail list includes, and an estimate of how often it arrives.

· Confirm subscription with instructions on how to opt-out.

The subscriber who opts-in must receive a confirmation email within 48hrs that is NOT content but simply an acknowledgement that they have opted-in and how to opt-out.

· Provide simple and clear instructions on how to unsubscribe at the bottom of all emails.

Mailing list administrators must provide a simple method for subscribers to terminate their subscriptions, and administrators should provide clear and effective instructions for unsubscribing from a mailing list. The opt-out will be linked at the bottom of all emails sent out, and clearly denoted, and must include an email or web removal option.

· Non-data entry unsubscribe notices honored within 48 hours.

Neither the email nor the web unsubscribe notice should require data entry. The URL in the email for unsubscribing should include everything needed. Email opt-outs should receive a confirmation Unsubscribed email. Web opt-outs should receive confirmation via the website and no email confirmation. All unsubscribe notices should be honored within 48 hours if not immediately.

· List operator as Mediacom subscriber must register list with Mediacom.

The mail list operator, when a Mediacom customer, must register with Mediacom by sending us their contact information, the lists they run, opt-in and opt-out information, and their commitment to live by these guidelines.

· Records of subscriber name, email, date and IP must be kept.

The mail list administrator must keep records of who subscribes including name, email address, date and IP address. The operator must also be willing to provide the information on who subscribes, their email address, the date of subscription and their IP address to Mediacom immediately upon demand.

· Insure proper list management for network impact reasons.

Mailing list administrators must ensure that the impact of their mailings on the networks and hosts of others is minimized by proper list management procedures such as pruning of invalid or undeliverable addresses, or taking steps to ensure that mailings do not overwhelm less robust hosts or networks.

· Report all abuses.

Mailing list administrators must take adequate steps to ensure that their lists are not used for abusive purposes. All abuses must be reported to abuse@mediacomcc.com.

· Make adequate disclosures. No selling or trading of lists.

Mailing list administrators must make adequate disclosures about how subscriber addresses will be used, including whether or not addresses are subject to sale or trade with other parties. Once a mailing list is traded or sold, it may no longer be an opt-in mailing list. Therefore, those who are acquiring "opt-in" lists from others must examine the terms and conditions under which the addresses were originally compiled and determine that all recipients have in fact opted-in specifically to the mailing lists to which they are being traded or sold.

Mailing list administrators should make adequate disclosures about the nature of their mailing lists, including the subject matter of the lists and anticipated frequency of messages. A substantive change in either the subject matter or frequency of messages may constitute a new and separate mailing list requiring a separate registration.
